For independent rural clinics and small hospitals in Mississippi

We carry the systems. You carry the care.

Clinics are being asked to report more, document more, and prove more, with the same staff and the same visit. SuiteMate sets up your electronic health record to do that work, so your team gets time back for patients. On site, at a fixed price.

  • On site in Mississippi
  • Fixed price
  • A business associate agreement before any patient data
  • Every document is yours

More is being asked of your clinic. Make the EHR carry it.

The reporting, documentation, and data work gets done inside the system, once, by the people already in your building. Four projects, each with a fixed scope, a fixed price, and a deliverables list you sign before work starts.

01

Readiness check

2 to 5 weeks

Where you stand, what you need, and what it costs, in writing.

  • One day on site
  • Every system, report, and paper form, with hours per week
  • A dated plan and budget lines
02

A new EHR, set up for you

10 to 16 weeks, then 90 days of support

Go live with workflows built and every role trained.

  • On site at go-live
03

More from the EHR you have

6 to 12 weeks, then 90 days of support

The features you already pay for, put to work.

  • Online scheduling and the patient portal, turned on
  • Paper forms moved into the chart
  • Documentation templates for each role
04

Exchange and reports

4 to 8 weeks

The reports you owe the state and payers, built from the chart.

  • Connected to the state's exchange
  • Quality measures defined and reporting
  • Operations, quality, and revenue dashboards

Fixed price per project, sized by clinicians and sites, or beds for a hospital. Stated in writing before work starts. Not included: the EHR license, vendor fees, hardware, exchange fees, telehealth, cybersecurity tools.

Review first. Then setup. Then continued support.

Seven steps, in the same order, for a one-provider clinic or a 25-bed hospital. Each ends with your written sign-off. Nothing goes live or to a funder without it.

Ayanna Humes founded SuiteMate so independent clinics and small hospitals can spend their day on patients instead of the systems around them, with someone in the building to help.

It started in her mother-in-law's independent clinic on the Mississippi Gulf Coast, where a nurse practitioner and a team of three give exceptional care with almost no spare time. While rebuilding the clinic's website, Ayanna mapped how the day actually ran. Patients called to ask whether the clinic was open. Visits the patient portal could book were booked by phone. Paper forms were typed in twice. EHR features sat unused because nobody had time to turn them on. In 2023, when ransomware hit the health system that hosts the clinic's EHR, the team ran on paper for three days, then re-entered every visit by hand.

She had seen the same pattern before. For ten years she was a software engineer across big tech, fintech, and a software agency, building systems used by millions of people. Her work covered the infrastructure underneath, the data and analytics that show whether a system is working, and the change management, training, and support that get people to use it. She holds a computer science degree from Emory University and a full-stack software certificate from Georgia Tech.

For your clinic, that means one lead who can read your data, work through your systems with your vendor, and train each role until the competency check is passed. She leads every engagement on site. When something breaks, she is in your building and stays on the call with your vendor until the fix is confirmed. Specialists join by project for interfaces, clinic operations, training, data, and security review, and you keep one lead and one phone number.

What we don't do

  • Sell, license, or host an EHR. We set up the one you choose.
  • Replace your EHR vendor. We work next to them.
  • Billing, coding, compliance surveys, grant writing, or security operations. We work beside the firms that do.
  • Train any AI tool on your patients' data.

What clinics ask first.

Is this for a clinic as small as mine?

Yes. The readiness check and the Core plan are built for one provider and one site.

Will this add to my plate or take from it?

It takes. The readiness check counts your hours on the phone, on paper, and on reports. The plan you sign lists the hours each change frees.

What do you do that our EHR vendor doesn't?

Your vendor installs the software. We do the clinic's work around it: workflows, testing, training, go-live, and 90 days after.

We're on a health system's EHR. Can you still help?

Yes. We work through the host system's change process and access rules, and confirm what it allows during the readiness check.

What happens after the project, or after the grant?

You get every document and a one-page plan naming the monthly cost and the owner. Run it yourselves or choose a monthly plan.

Can I show this to my owner, my board, or my auditor?

Yes. Every step ends with your signature, and every milestone with an invoice and an evidence pack. SuiteMate works under subrecipient procurement rules.

Can our IT lead review your data and security terms first?

Yes. Request the capabilities statement and our business associate agreement before the call.

I advise clinics. Do you overlap with what I do?

No. We don't do billing, coding, compliance surveys, grant writing, or security operations. We set up and support the EHR and train the staff who use it.

We are applying to the state's EHR program. Can you help?

We explain what the program funds, at no charge. You choose any vendor through your own procurement after award. We don't ask to be named in applications. If you are awarded, all funded work must be complete by July 31, 2027.

What does it cost?

A fixed price per project, sized by clinicians and sites, or beds for a hospital. We state it on the discovery call and in writing.

Thirty minutes. Tell us what weighs on your team.

Tell Ayanna about your clinic and what takes your team's time. You'll leave knowing what fits, how long it takes, and what it costs. If we're not the right fit, we'll point you to who is.
